REPORTING TO & SUPPORT FOR PROJECTS PROPERTY MANAGER, FAMILY OFFICE

 

80% OFFICE BASED / 20% TRAVEL / 12 MTH ROLLING CONTRACT

 

KEY RESPONSIBILITIES:

Supporting the smooth functioning of the Principal residences and additional smaller support properties around the UK.

 

Supporting of the repair and preventative maintenance of the properties to the highest possible standard.

 

Undertaking of the administrative function of all properties maintenance, staff notifications and record keeping.

 

Maintaining annual preventative maintenance, testing schedules and a running list of defects and repairs to all properties. These tasks should be prioritised, managed and completed by external parties.

 

Maintaining and assessing the preferred contractor list for the properties and ensuring that the works are completed to the standard, timing and budget expected. 

 

To seek efficiencies and savings to the running costs where possible.

 

Ad hoc support to contractors at the properties when necessary and supporting renovations as required.

 

Measuring all activities against industry recognised standards.

 

Responsible for the keeping of all property works records, health & safety, and risk assessments.

 

Travelling on occasion between the various properties keeping a regular updated schedule of works for each residence which includes a timeline for all proposed project and in-house tasks and the associated budget.

 

Responsible for the access arrangements to undertake the repair/maintenance work in each residence as and when required.

 

Being a point of contact for members of the Family Office, household staff, suppliers, contractors and sub-contractors for property maintenance.

 

Maintain a schedule for each property including annual works that need to be undertaken as well as details of contractors and systems that are used.

 

EXPERIENCE / QUALIFICATIONS:

Project management experience welcomed.

 

Working with trades and the associated administration support.

 

General knowledge of UK Health and Safety and statutory regulations.

 

An understanding and experience of listed buildings and statutory regulations.

 

associated with the undertaking of works to properties and services.

 

The successful candidate may have gathered experience in private homes, deluxe or boutique hotels or Museums and Galleries – indeed any properties where great emphasis has been given not only to cutting edge M&E and IT/AV systems but also the soft and hard finishes, art, antiques along with fixtures and fittings.

 

It will be an advantage if candidates hold a Degree, but it will be more important for candidates to demonstrate a wide range of skills and knowledge within their respective discipline and to have a good working knowledge of current high-end systems.

Able to demonstrate excellent communication skills along with an excellent command of English, spoken and written.

 

IT proficiency and good knowledge and experience of using Microsoft Office (word/excel etc) especially in relation to preparing reports and maintaining inventories on excel.

 

A logical problem solver with good judgement and decision-making capability.

 

Familiar with managing contractors and suppliers.

 

Able to take control of the supervision of all general household maintenance.

 

Able to manage accounts (sometimes in collaboration with the Family Office).

 

This contract may have potential to extend should all properties not be completed by the contract period, and can be determined closer to the end date.

 

You will have recent and checkable references pertaining to above spec, and be available to start in next 2-4 weeks ideally. DBS clearance required, and NDA provided. Must have driving licence and own vehicle. PAYE Salary upto £60,000 gross pa.
