This remote Family Office Administrator / Operations Lead will serve as the operational backbone of the office.

 

This individual will oversee administrative functions, coordinate with external advisors, manage staff, and ensure smooth execution across all entities. The role requires a mix of strategic oversight and hands-on execution. Someone who is equally comfortable working with accountants and attorneys as coordinating property management, travel, or household logistics.

Key Responsibilities

 

Operational & Administrative

  • Oversee day-to-day family office operations, including scheduling, internal processes, and record management.
  • Supervise and support staff, including hiring, training, and performance management.
  • Act as the primary liaison with attorneys, accountants, tax advisors, trustees, and other professional partners.
  • Maintain all corporate and entity governance documents, filings, and compliance requirements across jurisdictions.
  • Prepare and organize materials for board meetings.
  • Manage HR processes including payroll, benefits, and contracts for both office and household staff.

Financial & Investment Support

  • Support budgeting, forecasting, and expense oversight across family and investment entities.
  • Track investment activity, including capital calls, distributions, and performance reports across funds and direct holdings.
  • Coordinate audits, tax filings, and valuations.
  • Review and process invoices, vendor payments, and intercompany transactions.

Governance, Risk & Strategy

  • Develop and maintain policies, procedures, and internal controls to ensure consistency and compliance.
  • Oversee risk management, legal, and regulatory obligations.
  • Support strategic planning, capital allocation, and long-term initiatives.
  • Contribute to continuity and succession planning within the office.

Household, Property & Lifestyle Management

  • Oversee the management and maintenance of residences and properties, including vendor coordination and budgets.
  • Organize travel, events, guest logistics, and concierge services.
  • Maintain insurance coverage, property tax schedules, and risk management across assets.
  • Provide general support to family members for personal matters such as education, relocation, philanthropy, and scheduling.

Qualifications

  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
  • Minimum of 10 years of experience in a family office, private wealth, fiduciary, or related operational role.
  • Strong understanding of investments, including public markets, private equity, real estate, and alternative assets.
  • Proven ability to manage staff, advisors, and third-party vendors.
  • Excellent organizational and project management skills with strong follow-through.
  • High degree of integrity, discretion, and confidentiality.
  • Outstanding written and verbal communication skills.
  • Ability to manage multiple priorities and operate effectively in a fluid environment.

Preferred (Not Required):

  • CPA, CFA, or similar designation.
  • Experience with cross-border entities, trusts, and multi-jurisdictional structures.
  • Background in property, household, or estate management.
  • Familiarity with family governance, philanthropy, or legacy planning.
  • Experience with family office technology and consolidated reporting systems.
