We have an excellent opportunity for a highly organized and proactive Personal Assistant (PA) within a Family Office to provide high-level support, ensuring the seamless management of both the
business and personal aspects of the owner's life. The role has an 80% workload and will be based in Zug.
Main responsibilities:
- Provide comprehensive day-to-day support for personal tasks, including organizing appointments and managing schedules for all family members.
- Coordinate and assist with the planning and execution of personal events, social gatherings, and other activities as required.
- Serve as the primary point of contact between the owner and external parties, ensuring smooth communication and handling of all personal matters.
- Oversee and manage all related travel arrangementsfor the family.
- Maintain complete confidentiality at all times regarding all family-related matters.
- Oversee daily operations across multiple residences and locations, coordinating a diverse team of household employees, ensuring seamless operations.
- Develop and maintain schedules for household employees, including daily working hour time tracking, to ensure all tasks are completed efficiently and on time.
- Prepare documents, reports, and presentations as needed for business purposes.
- Assist with managing business-related expenses and maintaining financial records.
Qualifications:
- A minimum of 2 years' experiuence as a Personal Assistant or in a similar role, managing both personal and professional tasks.
- Strong communication skills, both written and verbal with English and German languages at a Professional level.
- Proficiency in using office software (e.g., Microsoft Office Suite, Google Workspace) and organizational tools.
- Flexibility and adaptability to changing schedules and needs.
- Experience in managing household staff and basic understanding of yacht operations is a plus.
- A valid driver’s license and the willingness to travel if required.
