RESIDENT HOUSE & PROPERTY MANAGER

Location - OXFORDSHIRE, NEAR HENLEY
The Estate is located on the edge if the Chilterns, not far from Watlington. It consists of a magnificent 18th Century mansion set in 500 acres of parkland, woodland and downland. There are a number of cottages and outbuildings and there is also a small private shoot.
The Estate was purchased in Summer 2017, and the new owner would like to appoint manager to be the co-ordinator and single point of contact for all day-to-day operations.
It requires a practical problem-solver and a good communicator, who is able to perform a variety of general functions including:-
Access and Security: Controlling all access to and from the Estate. Politely challenging rights of way users who stray from the footpaths and bridleways, patrolling boundaries when required and generally acting as ‘eyes and ears’ / Ensuring that all gates and alarm systems are working properly at all times and that alarms are set when required. Also to act as primary keyholder and communicate with alarm contractor and the monitoring station. Being ‘on call’ at all hours and clear and calm in a crisis / Care and monitoring of house contents and keeping records updated with new arrivals of artwork and valuables. Communicate with the contents insurer periodically.
General administration: Maintain basic records where these are not covered by the Agent. Such records to include supplier and contractor schedules, service and maintenance contract paperwork, visitor diary, petty cash/card payment records etc / Respond to emails and contact from the owners and their respective PAs at all times – undertaking errands and ad hoc tasks and responding to requests for information / First filter of post. Receive and stamp invoices and forward to Agent for payment / Receive parcel deliveries and close liaison with the PAs over them.
Domestic Matters: Provisioning and supplies of food, beverages and other stocks for the house / Supervising housekeeping and being hands-on where required / Understanding the owner’s domestic and hospitality requirements ahead of visits and functions / Sourcing, arranging and briefing hired domestic, catering, hospitality staff / Maintaining a standards manual.
Repairs, maintenance and contractors: Checking, inspecting and responding to repairs and maintenance requirements / Troubleshooting problems, hands on fixing where able (specifically not where there is a risk or requiring formal training) / Understand many historic quirks and issues with various items of apparatus, plant and equipment and issue instructions and symptoms to specialist contractors / Seek quotations for work and communicate these to the owner or Agent. Instruct and oversee subsequent work, liaising closely with contractors and challenging advice and findings where necessary / Co-ordinate contractors / Work closely with Gamekeeper and Head Gardener on wider gardens and estate repair items
Vehicles: Keep vehicle ownership documentation and ensure servicing, tax and MOTs up to date / Ensure vehicles are cleaned, fuelled and in good repair at all times / Driving family and guests and running errands
General: Acting appropriately as day-to-day representative of the owners in all dealings with neighbours, suppliers, contractors, visitors and all others / Able to assist manually or clerically with a wide variety of planned and often reactive tasks / Work closely with other staff and be the single individual on site with widest overall picture of activities and issues / Assist the owner’s Agent with strategic/wider estate matters which require input. This to include assisting with routine operational budgets and project planning and delivery / Act as Health & Safety representative and enforcer on site, working with the written policy and procedures provided by consultant / Providing assistance with hospitality, meeting/greeting the owners and guests etc when required / Close liaison with any hospitality coordinator over visits and functions and shoot weekends.
Salary £40-£45k pa DOE. Start January 2018. Must have proven experience and longevity in previous roles, with checkable references. Current DBS.
