We are looking to recruit a highly experienced Household / Property Manager to look after the homes of a private family, both of which are based in North London, as well as a couple overseas.


The main location for the role will be North London, split between the two houses with occasional visits to the offices in Central London in order to link in with the rest of the Family Office team who are based there.


This is a comprehensive estate managing role, being the main point of contact between the Principals and the property. It requires an overall management of the properties, service, inventory and insurance and household staff.


This is a day to day role with a hands-on approach towards maintenance and applicants must have previous private household and/or listed buildings experience, with a great contacts book so they know who to call when needed.


The houses are both listed (one is Arts & Crafts and one is Georgian) and full of complicated equipment and IT, so applicants must have knowledge of high-end properties or hotels.  It is a reactive job and the Principal often asks for things last minute and expects a fast response, so needs someone who can work under pressure, is client focused and is happy to respond out of hours in the rare occasions this is necessary. 


Please note that there are no internal expectations such as service etc – this is a pure Property Management role, and therefore candidates with Facilities and/or Estate Management knowledge would be preferred.


Hours:  Standard office hours, Mon to Fri

Responsibilities include, but not limited to:



Overall responsibility for the maintenance, upkeep and routine servicing of the houses and ensuring continued operation of various systems including but not limited to, the following:

  • Crestron, Sonos, AV systems
  • Swimming pool, Sauna/Steam Rooms
  • Security/fire alarms, CCTV, Door Entry System
  • Irrigation
  • Electric Gates
  • Heating and hot water systems, HVAC

Whilst maintenance companies are employed to maintain and support the above, the Facilities Manager will be expected to have a working knowledge of the systems and be able to trouble shoot simple issues and carry out simple tasks such as resetting/rebooting the various systems, and performing routine tasks such as simple software updates etc.


Liaison with the family

  • Be the first point of contact for family members and/or their support staff (PAs etc) in regard to residential property issues at any of the UK or overseas properties
  • Respond to queries and maintenance requests from the family and their direct staff
  • Log all issues which arise and follow up on action points in a timely manner


Planned maintenance

  • Maintain a schedule of planned maintenance for items including but not limited to the following:
  • Exterior redecoration
  • Roof repairs
  • Internal decoration


Reactive maintenance

  • Responding to the family’s requests to arrange repairs or carry out adjustments to the properties or systems as quickly as is practical.
  • Regular (weekly) inspection of the properties to test systems and identify wants of repair so they can be rectified without delay.
  • Liaise with corporate IT to ensure properties IT is functional



  • Provide a weekly report to the family to advise as to progress on all property related matters.
  • Flag any issues that have arisen in the last week and give brief detail as to the status and timing of the remedy.
  • Updates on any longer projects including any delays, identify new risks.



  • Manage security of property including being the main point of contact with the alarm monitoring service (including being contacted at unsociable hours, evenings/weekends, if an alarm is triggered)



As and when requested by the family to manage/coordinate projects such as refurbishment, construction, major landscaping etc. Management to include:

  • Selection and appointment of designer/consultants as required
  • Obtaining cost and programme information
  • Selection and appointment of contractors
  • Coordination and supervision of works
  • Regular reporting to family/family office with regard to changes/delays etc.


Health and Safety/Risk Management

  • Continually monitor all aspects of health and safety at the houses
  • Flag any perceived H&S issues to the family and/or family office.
  • Provide solutions to risks (or seek advice from relevant professional/consultants)
  • Where appropriate and with the agreement of the family, to coordinate and implement and changes (physical or procedural) for the improvement of H&S.



  • Liaise with the family office to make sure all insurance requirements are met, and any information that would be relevant to the insurers is passed to the family office.


Overseas Properties

  • Liaise with local service providers as required
  • Ensure the properties and assets are being maintained in accordance with agreed programmes
  • Carry out periodic visits to the properties & working with staff at properties to ensure they are maintained to the required standard and are ready for family / guest visits
  • Instruct and monitor repair and maintenance work as required
  • Ensure communications are in compliance with ownership structures


Financial Responsibilities

  • Liaise with service contractors/suppliers to obtain tenders and quotes (ideally 3)
  • Ensure quotes for more significant expenditure are provided in advance of work being commenced and approval is confirmed with family /Family Office
  • Prepare annual budgets and forecasts for the family properties to submit to the CFO for review
  • Actively look for efficiencies / cost saving measures where appropriate.



  • Other property and facilities related duties as reasonably requested from time to time by the family/family office.


Candidates must be/have:

  • Proven experience in a similar position

  • Excellent references

  • Presence and gravitas but someone who is fair and whom people like and respect

  • Will happily roll up their sleeves and be hands on

  • Must be proactive

  • Excellent negotiating skills

  • Be resourceful and have proficient knowledge of and be up to date with technologies and systems of the household.

  • Strong enough to challenge or direct suppliers and staff
