A prestigious private family office in Madrid is seeking a highly organized and proactive Executive Assistant to work closely with a key family member.
The role demands discretion, professionalism, and trust, as you will handle a wide variety of personal tasks and confidential matters. The ideal candidate will be resourceful, detail-oriented, and
capable of managing both personal and professional priorities in a fast-paced environment.
Key Responsibilities:
- Manage personal schedules, including appointments, travel arrangements, and social engagements.
- Act as the primary point of contact for the key family member, managing communication, including emails, phone calls, and correspondence.
- Oversee calendar management, ensuring all commitments are prioritized.
- Prepare and maintain confidential documents and reports.
- Manage filing systems in conjunction with the family office team, to ensure quick and easy access to important information.
Travel Coordination:
- Plan and coordinate international travel arrangements, including flights, accommodations, itineraries, and ground transportation.
- Handle visas, passport renewals, and other travel documentation.
Project Management:
- Assist in managing family projects, including renovations, real estate, and other personal investments.
- Coordinate with the in-house family office team, contractors, service providers, and other professionals to ensure timely completion of projects.
- Provide research and recommendations on family-related initiatives.
- Liaise with accountants, lawyers, and financial advisors on personal financial matters as needed.
Skills and Qualifications:
- Bachelor’s degree or equivalent experience preferred.
- Minimum of 5 years of experience as an Executive Assistant or Personal Assistant in a high-profile or private family office setting.
- Native or fluent in Spanish and English; other languages are a plus.
- Exceptional organizational and multitasking skills, with attention to detail.
- Ability to work independently, anticipate needs, and make sound decisions.
- Strong written and verbal communication skills.
- Highest level of discretion and confidentiality.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), project management tools, and other relevant software.
Additional Requirements:
- Flexibility to travel and work outside regular hours when required.
- A strong understanding of Madrid and international travel logistics.
- Valid driver's license is preferred.
